Referral Coordinator:Full-Time

Department: Referrals
Location: Searcy, AR

If you’re bringing to the table:

  • High school diploma or equivalent
  • Knowledge of medical terminology, regulations, and medical office procedures
  • Independent decision making skills
  • Excellent customer service skills
  • Outstanding communication skills
  • Ability to read and write English according to proper grammar rules
  • Patience, sound judgment, and discretion dealing with confidential information
  • Organizational and multitasking skills
  • Experience with computer data entry
  • Preferred: Knowledge of EHR systems

Working with PrimeCARE, you will get to:

  • Initiate, track, and appropriately document referrals/appointment requests
  • Follow-through on each pending job in a timely manner
  • Assemble information concerning patient's clinical background and provide that information to appropriate requesting specialists and/ or facilities
  • Ensure that referrals are addressed in a timely manner and that all effort has been made to ensure patient notification of scheduled appointments
  • Review details and expectations about the referral to the patient
  • Be the system navigator and point of contact for patients and families, be available for their questions and concerns
  • Assume an advocate role for the PrimeCare patient
  • Contact review organizations and insurance companies to ensure prior approval requirements are met; identify within the patient's clinical note appropriate medical information to share with these agencies
  • Review outgoing pending referrals to ensure correlating records are received from specialist appointments
  • Request records via phone or fax from outside facilities to complete the circle of care in outgoing referrals
  • Access the fax inbox to retrieve referral requests and records for referrals
  • Review incoming referral requests and review chart to determine approval or denial of referral request
  • Review Telephone Encounters and contact patients when necessary
  • Take care of orders, treatment plans, and other documents as needed
  • Stay organized amidst competing priorities
  • Handle an appropriate quantity of work while doing a quality job
  • Practice excellent telephone etiquette
  • Use resourcefulness in problem solving

Reporting structure:

  • Report to Team Leader (if applicable) and department manager.
  • We expect you to work with your teammates to help each other comply with policies and procedures.

Work schedule and conditions, travel required, physical requirements

  • Working hours/schedule requirements
    • Work Schedule will generally be M-F, 8-5 unless otherwise arranged
    • FT: Work a minimum of 30 hours per week, up to 40 or above, depending on clinic needs
    • Attendance will be required at staff meetings on a monthly basis outside of regular working hours (generally, early morning)
  • Travel: Travel may occasionally be required to attend trainings, meetings, or to cover for teammates at other locations in Central Arkansas (generally, at other PrimeCare clinic locations)
  • Physical requirements & General working conditions
    • Minimal risk of occupational exposure to blood-borne pathogens and other potentially infectious materials
    • Low traffic work area, moderate level of patient and employee interaction
    • Quiet to moderate noise level from electronic/machine, telephone, and vocal noise
    • Employee will be required to speak to and listen to others
    • Employees will be required to process, remember, and comply with changes in processes and protocols with or without advance warning
    • Majority of time may be spent sitting at a computer, using hands and fingers to perform job tasks; some reaching is required; many job functions require repetitive motion
    • Vision abilities required to perform this job include close vision
    • Employees will rarely be asked to lift anything above 25lbs
